How your information is used

When you clock in and out with CrewClock, we record some information about you. This explains what we hold and why.

Who holds your information

Mack Events decides how your information is used (the “data controller”). CrewClock is the clock-in system, operated for them by Webjects Ltd.

What we collect

Your name, the event you’re working, and the date and time you clock in and out.

Why we use it

To record the hours you work, so you’re paid correctly and the event is properly staffed. Our lawful basis is legitimate interests — running the event and paying its crew accurately.

Who can see it

  • Mack Events, who you’re working for.
  • Webjects Ltd, who operate CrewClock on their behalf.
  • Our service providers: the UK hosting that runs the system, and an email service that sends the daily summary. An error-monitoring service is used to keep the system reliable; it is not sent your personal details.

How long we keep it

For as long as you work with Mack Events, and for a period afterwards set by them, after which your name is removed from old records.

Your rights

You can ask to see the information held about you, to correct it, or to have it removed, and you can object to how it’s used. Speak to Mack Events in the first instance. If you’re unhappy with how your information is handled, you can contact the Information Commissioner’s Office at ico.org.uk.
